Medical Law Service part of Fletchers Solicitors group have a fantastic opportunity to join our growing MLS Team.
Purpose of role:
The Pagination Administrator plays a key role in ensuring the accurate, timely, and efficient management of instructions within the pagination workflow. This role is responsible for reviewing delayed or incoming cases, prioritising work in line with Medical Law Services prioritisation rules, and providing high-quality administrative support to the Pagination Leadership Team. The ideal candidate will be detail-oriented, organised, and confident communicating with internal teams and external customers.

Main Responsibilities:
Case Review & Prioritisation
- Identify, review, and investigate delayed cases to ensure appropriate follow‑up and resolution.
- Assess case instructions and determine the correct priority level in accordance with MLS prioritisation rules and operational guidelines.
- Escalate high-risk or urgent cases where necessary to the Pagination Leadership Team.
Data Preparation & Reporting
- Review, prepare, and collate operational data and performance metrics for review by the Pagination Leadership Team.
- Maintain accurate records, spreadsheets, trackers, and logs to support reporting and decision-making.
- Assist in creating slide packs or summaries to support operational planning and resource allocation.
Instruction Management & Triage
- Conduct first‑stage triage of new instructions, including:
- Removing duplicate entries
- Correcting data errors or inconsistencies
- Clarifying incomplete or unclear information by liaising with customers, colleagues, or stakeholders
- Ensure all validated instructions are accurately categorised and ready for onward processing.
General Administrative Support
- Provide day‑to‑day administrative support to the pagination function, including mailbox management, documentation updates, and internal communication handling.
- Contribute to process improvement initiatives and support the development of best practices.
- Assist with ad‑hoc tasks, projects, and operational requests as required.
Essential qualifications, skills and experience:
- Strong attention to detail with the ability to spot data errors and inconsistencies.
- Excellent organisational and time‑management skills.
- Confident communicator, able to obtain clarification and relay information clearly.
- Comfortable working with spreadsheets, trackers, and common data‑handling tools.
- Ability to work independently and manage a fluctuating workload.
- Ability to be agile in response to changing priorities and deadlines.
Desirable
qualifications, skills and experience:
- Previous experience in administration or workflow coordination.
- Familiarity with Proclaim or other case management system.
- Usage of Power BI, Excel or other reporting tools.
- Knowledge of pagination, document processing, or operations environments.
